Introduction and Scope
Relevana, Inc provides this Privacy Notice to explain how we collect, use, disclose, and protect information in connection with our public website and related online interactions. This notice applies to visitors to the Relevana website, to individuals who contact us through the site, and to individuals who submit resumes or other application materials through our website in connection with employment opportunities. This notice does not govern information processed by Relevana on behalf of our employer clients in connection with Relevana, our AI video interviewing service; that service is covered by the separate Candidate AI Video Interview Privacy Addendum referenced below.
When the Relevana platform is used by employers to conduct candidate interviews or evaluate applicants, Relevana processes candidate interview information on behalf of the employer. The employer determines the purposes and means of processing candidate data, and Relevana processes such data solely to provide and support the platform.
This notice is effective as of March 11, 2026, and it will be updated when our practices change.
Information We Collect
We collect information that you choose to provide, such as your name, email address, telephone number, mailing address, and the content of messages you send to us. We also collect information automatically when you use our website, including IP address, device and browser characteristics, operating system, the pages you view, the links you click, the referring and exit pages, timestamps, and similar internet or network activity information. We use cookies, pixels, and similar technologies to enable these functions. We use Google Analytics to help us understand how visitors use our website, including the pages visited, time spent, and interactions. Depending on your jurisdiction, the automatically collected information described in this paragraph may be considered personal information.
Resume and Job Application Information
When you submit a resume or other application materials through our website for job openings, we collect the information contained in those materials, which may include your name, contact information, employment history, educational background, professional qualifications, and other information you choose to provide. Resumes and application materials you submit may contain sensitive data, such as information revealing racial or ethnic origin, national origin, citizenship or immigration status, or other categories of information that receive heightened protection under applicable law. We limit our collection and processing of sensitive data contained in resumes to what is strictly necessary to evaluate your application and provide or maintain the recruitment services you have requested.
Sources of Information
We collect information directly from you when you submit forms, communicate with us, or upload resumes and application materials. We collect information automatically from your device when you access our website, including through cookies and analytics tools as described above. We may also receive information about you from our service providers that support our website and marketing operations.
How We Use Information
We use information to operate, secure, and improve our website; respond to your inquiries; provide information about our products and services; perform analytics and measure website performance; detect, prevent, and address fraud or security issues; comply with legal obligations; and support the exercise or defense of legal claims. With respect to resumes and job application materials, we use the information you provide to evaluate your qualifications for employment, communicate with you regarding your application, and for other purposes related to recruitment and hiring. When required by applicable law, we will obtain your consent before using information for certain purposes. We will not process your personal data for purposes that are neither reasonably necessary to, nor compatible with, the disclosed purposes for which it was collected without first obtaining your consent.
Cookies, Analytics, and Your Choices
Our website uses cookies and other technologies to remember your preferences and to measure and analyze use of the site. Google Analytics helps us evaluate overall engagement and improve content. You can manage cookies through your browser settings, and you may use available tools to limit analytics. Certain functions may not work properly if cookies are disabled. If we use analytics or advertising technologies in a way that constitutes a sale or sharing of personal information under applicable law, we will provide a "Do Not Sell or Share My Personal Information" link and honor your opt-out choices, including recognized opt-out signals where required.
How We Disclose Information
We disclose information to our service providers who support website hosting, analytics, security, and communications, and who are contractually obligated to use the information only to provide services to us. With respect to resume and job application data, we may share such information with prospective employers, subject to contractual obligations to protect the confidentiality of such information.
Whether We Sell or Share Personal Information
We do not sell personal information for money. We do not sell sensitive data, including any sensitive data that may be contained in resumes or job application materials. If we configure analytics or advertising technologies in a manner that is deemed a "sale" or "sharing" for cross-context behavioral advertising under California law or other applicable state laws, we will provide the required opt-out mechanisms and honor your choices.
Retention of Information
We retain personal information for as long as reasonably necessary to achieve the purposes described in this notice, including to operate and improve the Platform, support recruiting and hiring activities conducted through the Services, comply with legal and recordkeeping obligations, resolve disputes, and enforce our agreements.
Retention periods may vary depending on the nature of the data, the purposes for which it was collected, contractual obligations, and applicable legal requirements. In some cases, information may be retained for extended periods where it forms part of the Platform's candidate database or contributes to improving system performance, analytics, and product functionality. Where appropriate, personal information may be securely deleted or de-identified.
Your Privacy Rights and How to Exercise Them
Depending on your state of residence, you may have the right to request access to the personal information we hold about you; to receive a portable copy; to request correction of inaccurate information; to request deletion; to opt out of sales or sharing of personal information and targeted advertising; to obtain a list of the categories of third parties to which we have disclosed your personal data; and to appeal our responses to your requests.
Maryland Residents
Under the Maryland Online Data Privacy Act, Maryland residents who are "consumers" as defined in the Act have the following rights:
- The right to confirm whether we are processing your personal data.
- The right to access your personal data.
- The right to correct inaccuracies in your personal data.
- The right to delete personal data provided by or obtained about you.
- The right to obtain a copy of your personal data in a portable and readily usable format.
- The right to obtain a list of the categories of third parties to which we have disclosed your personal data.
- The right to opt out of the processing of personal data for purposes of targeted advertising, the sale of personal data, or profiling in furtherance of solely automated decisions that produce legal or similarly significant effects concerning you.
Please note that under the Maryland Online Data Privacy Act, "consumer" does not include an individual acting in a commercial or employment context, or an individual whose communications or transactions with us occur only within the context of applying for employment. Accordingly, certain consumer rights under the Act may not apply to personal data we process solely in connection with your job application.
How to Submit Requests
You can submit requests through email at [email protected]. We will verify your identity before responding to certain requests.
Response Timeline
We will respond to your request within 45 days of receipt. If reasonably necessary due to the complexity or number of requests, we may extend this period by an additional 45 days, provided we notify you of the extension and the reason within the initial 45-day period. If we decline to act on your request, we will inform you of the reasons and provide instructions for how to appeal.
Appeals
If we refuse to act on your request, you may appeal our decision within a reasonable period. We will inform you of any action taken or not taken in response to the appeal within 60 days and provide a written explanation. If we deny your appeal, we will provide you with an online mechanism to submit a complaint to the Maryland Division of Consumer Protection.
Data Protection Assessments
Where required by applicable law, including the Maryland Online Data Privacy Act, we conduct and document data protection assessments for processing activities that present a heightened risk of harm to consumers. These activities include processing personal data for targeted advertising, the sale of personal data, processing of sensitive data, and profiling that presents foreseeable risks of harm. Our assessments weigh the benefits and risks of processing and consider factors such as de-identification, consumer expectations, and the context and nature of the processing relationship.
Security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. We maintain reasonable data security practices to protect the confidentiality, integrity, and accessibility of personal data appropriate to the volume and nature of the data at issue, as required by the Maryland Online Data Privacy Act and other applicable laws.
International Use
Our website and servers are operated in the United States, and information you provide may be transferred to and processed in the United States. By using the website or providing information, you understand that your information may be processed in a country that may not have the same data protection laws as your jurisdiction.
Children's Privacy
Our website is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that a child under 13 has provided us personal information, we will delete it. Parents or guardians who believe their child has provided personal information to us may contact us at the address below. Under the Maryland Online Data Privacy Act, we will not process the personal data of a consumer under the age of 18 for targeted advertising and will not sell the personal data of a consumer under the age of 18.
SMS Messaging
Relevana sends SMS messages on behalf of employer clients to individuals who have applied for open positions or been contacted in connection with a job opportunity. These messages are limited to interview scheduling purposes, including requesting your availability or sharing suggested interview times with a link to a scheduling page. Messages identify the employer and recruiter by name. Relevana does not send marketing messages via SMS. You may opt out at any time by replying STOP to any message you receive. After opting out, you will receive one confirmation message and no further SMS messages in connection with that outreach. For questions, reply HELP or contact the recruiter directly at the email address provided in the message.

Changes to This Notice
We may update this Privacy Notice from time to time. When we do, we will post the updated notice on our website with a new effective date. Material changes will be highlighted for a reasonable period. If we use or share your information in a manner materially different from what was stated at the time of collection, we will provide you with notice of the new or changed practice before implementing it, in a manner and at a time reasonably calculated to allow you to exercise your rights under applicable law.
